River Valley Tennis Club

Privacy Policy

Last updated 3 September 2026

This site keeps a tennis ranking for River Valley Tennis Club. It stores the least it can, shows no advertising, uses no analytics or tracking of any kind, and shares nothing with anyone for marketing. This page explains exactly what it does hold and what you can ask us to do about it.

Who is responsible

This site is run by the organizers of River Valley Tennis Club. If you have a question about your information, or want it corrected or removed, email contact@rvtennisclub.org.

What we store

Three separate things, held in three different places.

Your sign-in

Sign-in is handled by Clerk, an authentication provider. When you sign in with Google or an emailed link, or use an email and password, Clerk stores your email address, your name when provided, and an identifier for your account. Clerk handles password authentication; our club database does not store your password.

Your club record

In our own database we store your display name, whether you play on the ATP or WTA tour, your starting and current points, your win-loss record, and every match you have played — opponent, score, date, and the member who witnessed it. We also record your email address and role so organizers can tell accounts apart, and keep an audit log of administrative actions such as approving an account or voiding a result.

Your profile picture

If you upload one, the image file is stored separately from the database. If you remove it, the file is deleted, not merely hidden.

What is visible to the public

Only the top three players in each of the Overall, ATP and WTA rankingsare visible without signing in. Their display name, profile picture (if uploaded), tour, points and win-loss record appear on the public podium and may be seen by people outside the club and search engines.

The full player pool, match results, player statistics, match history and head-to-head comparisons require a signed-in, approved club account. Accounts awaiting approval and disabled accounts cannot access those details. Match entry has the same access requirement.

If you would rather not appear on a public podium, contact us about removing your profile picture, shortening your display name, or taking you off the active roster.

Your email address is never shown publicly. It is visible only to club organizers, who use it to connect your sign-in to the right player.

What we do not do

  • No advertising, and no advertising networks.
  • No analytics, visitor tracking, or behavioural profiling. The site loads no third-party tracking scripts at all.
  • No selling, renting or sharing of your information with anyone for their own purposes.
  • No marketing emails. The only emails the site sends are sign-in links you asked for.
  • No cookies of our own. The only cookie is the one that keeps you signed in.

Who else handles your information

Three companies, each doing one job on our behalf:

  • Cloudflare hosts the site and stores the database and profile pictures. Our storage is located in the Asia-Pacific region.
  • Clerk handles sign-in and stores the authentication record described above.
  • Google is involved only if you choose to sign in with Google, and only to confirm who you are. We receive your name and email address; Google does not receive your match records.

These providers operate internationally, so your information may be processed outside Singapore. We chose providers that commit to protecting it to a comparable standard.

How long we keep it

Match results are kept indefinitely as part of the club’s competitive record — a season history with results removed would be meaningless. Your account, email address and profile picture are kept while you are a member, and deleted two years after a member leaves the club, or sooner if you ask.

If you ask us to remove you, we delete your account, email address and profile picture, and take you off the active roster so you no longer appear in the rankings or player pages. Matches you already played keep the name they were recorded under. If you want that name changed in past results too, say so and an organizer will do it — it is a manual change, so allow us a few days.

Your rights

Under the Personal Data Protection Act 2012 (PDPA), and as a matter of how we would want to be treated anyway, you can ask us to:

  • tell you what we hold about you;
  • correct anything wrong — a misspelled name, a wrongly recorded score;
  • remove your profile picture or your account;
  • stop displaying your name publicly.

Email contact@rvtennisclub.org. We will respond within 30 days, and usually much sooner — this is a tennis club, not a bureaucracy.

Security

The site is served entirely over an encrypted connection. Only signed-in members can record results, and only members an organizer has approved. Organizers can void an incorrect result but every such action is recorded in an audit log. Passwords are handled by Clerk and are not stored in the club database. The site collects no payment details.

No system is perfectly secure. If something goes wrong that affects your information, we will tell you rather than quietly hope you do not notice.

Junior members

Sign-in accounts are for members aged 18 and over. Members under 18 do not hold an account on this site at all — and that is deliberate rather than an oversight.

A junior can still play in the club ranking. An organizer adds them to the roster and records their matches for them. Because they never sign in, we store no email address for them, no sign-in record, and no account of any kind.

For juniors we also apply these rules:

  • A parent or guardian must agree in writing before a junior’s name appears on the site.
  • Juniors are shown by first name and last initial, not their full name.
  • No profile picture is uploaded for a junior member.
  • A parent or guardian can ask us at any time to remove their child entirely, and we will do it without asking why.

We take this approach because the top-three podiums are visible to anyone on the internet. That is a reasonable thing for an adult to opt into and a poor default for a child.

Changes

If this policy changes in a way that affects you, we will say so on the site rather than quietly update the date. This version was last updated on 3 September 2026.
